I am looking for a highly organised and proactive Execution Assistant to help manage tasks, coordinate activities, and ensure ideas are carried through to completion.
This role goes beyond traditional administrative support. The successful candidate will organise priorities, track progress, follow up with stakeholders, prepare documents, and keep projects moving forward with minimal supervision.
The ideal candidate should be comfortable handling multiple responsibilities, communicate clearly, be proficient in Microsoft Office, and have strong organisational and follow-up skills.
Key Responsibilities
- Organise and track tasks, projects, and priorities.
- Turn instructions and ideas into actionable plans.
- Coordinate with staff, vendors, contractors, and external partners.
- Follow up on tasks and ensure deadlines are met.
- Maintain Excel trackers for tasks, budgets, contacts, and project progress.
- Prepare reports, meeting notes, presentations, and business documents.
- Manage communication across email, WhatsApp, phone calls, and shared workspaces.
- Conduct basic research and summarise findings.
- Monitor project timelines and provide progress updates.
- Track meeting action items and ensure follow-through.
- Maintain organised records and documentation.
- Handle confidential information professionally.
Required Skills
- Strong written and verbal communication skills.
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook.
- Good knowledge of Google Workspace including Docs, Sheets, Drive, Gmail, and Calendar.
- Strong organisational and coordination skills.
- Ability to manage multiple tasks and deadlines.
- Excellent follow-up and stakeholder management skills.
- Strong attention to detail.
- Ability to work independently and take initiative.
- Good problem-solving and research skills.
Preferred Experience
Experience in any of the following areas is an advantage: executive assistance, project coordination, operations support, business administration, vendor or supplier management, process documentation, or project management tools such as Trello, Asana, ClickUp, or Notion.

- Ability to work independently and provide regular updates.
